Workstation codes: finding everything after an office move
After a corporate move, finding your location depends on how they were identified furniture and necks before departure. A simple code system connects goods to the new location without exposing personal information on labels.
Build code from destination
Assign a reference to the room or area and a number to the location. Use the same code on the plant, inventory and associated packages. Avoid shortcuts that change meaning between departments, such as a letter used for both a room and a person.
If a location is not yet assigned, keep the physical code and update only the internal list of users. The move should not depend on the presence of an employee's name on each object.
Distinguish large goods and small accessories
Desk, chest of drawers and chair can share the reference of the location, but must remain identifiable as separate elements. For accessories use closed containers, indicating quantity or progression when serving multiple boxes.
Labels should not be applied directly on delicate surfaces with unchecked adhesives. Agree to compatible support or removable system. Recognisability must be maintained even after the packing, otherwise the code remains hidden just when it is needed during the drain.
Connect the apparatuses without confusing the tasks
The logistic code helps to recognize monitors, supports and accessories of the same station. The IT management and the technical association of the apparatuses remain, however, under the control of the IT referent. The move system does not replace the company’s computer inventory.
For cables and power supplies use separate containers according to the technical indications. Avoid collecting everything in a single common box: the time saved in the preparation could turn into a long research at the time of reparation.
Check the plant before printing
Positions must be approved in the new home before producing many labels. Check that desks and drawers can be used without hindering doors and paths. An orderly numbering does not correct a non-practicable arrangement.
When a location changes, it updates the map while keeping track of the revision. Distribut one final version to the team and the referents. Hand-made corrections on different copies can bring the same mobile back to two incompatible environments.
Use the code even in the final control
At delivery, it marks what has come and what requires intervention. Observations must recall a code, so they are understandable even after the end of the work. To prepare the transfer with DUDA you provide plant, inventory and legend: the system can accompany the path from Milan to the new home without depending on the memory of those who have packaged each single neck.
