Storage inventories: identify furniture and boxes with simple codes

After a few weeks away from home it is easy to forget in which box are the tablecloths or which closet belongs to a panel. An inventory of the deposit is used to avoid memory-based research. It should not be complicated: few coherent codes, comprehensible descriptions and a shared list are more useful than a very long list written quickly in the evening before the withdrawal.

DUDA Traslochi — Storage inventory: identifying furniture and boxes with simple codes

Choose a number that does not change

Assign to each furniture a stable code, for example M01, and to boxes a distinct series, like S001. The code should not only depend on the current room, because after the move that destination could change. Next to the number, add a concrete description: “white box, four drawers” identifies the object better than “mobile room”. When two pieces are equal, specify a recognizable difference or photograph the label applied at the agreed point with the operators.

Connect components without multiplying ambiguities

A disassembled wardrobe can produce doors, shelves, hips and hardware bags. Keep reference to the main furniture: M01-A for doors, M01-R for shelves, with a legend if necessary. The numbering does not replace the technical indications of the editor; it must be agreed because its references remain legible. For the necks composed of several elements note how many pieces they contain. Avoid writing directly on the finishes or using adhesives that may leave marks.

Describe the content useful to the search

For boxes it is often enough a precise category and an indication of priority: “double bed linen” or “home documents to be retrieved at the return”. You do not need to expose outside confidential information. Keep personal details in your inventory copy, associated with the code. If some necks need to be recoverable during the custody period, create a dedicated column and compare it with the agreed service. A generic “varie” writing makes it almost impossible to organize selective recovery.

Update the list to every handling

The inventory must follow what really happens. If you withdraw a box or add a furniture, record date and change, keeping the previous version. At the time of delivery, use the same list to check the codes and write down any components to be identified. An electronic sheet can facilitate filters, but also a printed table works if it remains sorted. Agree what document will refer to the service: your personal list and the documentation of the deposit must be compared without contradictions.

A test before closing the necks

Choose three random objects and try to locate them using only the list. If you can recognize code, description and position of accessories, the system is clear enough. If you need to remember how the box was prepared, add missing information. This small verification is useful especially when the inventory is compiled by different people, because it allows to uniform the descriptions before the furniture leaves the house.
