In the international transfer the calendar must distinguish what is programmed by what is confirmed. A well-defined delivery window helps coordinate personal travel, availability of keys and people in charge of receiving furniture.
Give a precise meaning to the dates
Ask for the day or withdrawal window, delivery forecast and confirmation of the appointment. An agreed interval is not equivalent to a guaranteed hour. Also the availability you communicate must be real: if you can receive only at certain times, declare it first.

A page with addresses, referents, constraints, windows and points to be confirmed is enough to align the people involved. Update it by keeping the date of the latest version.
